Administrative Assistant for the Installation Service in the General Infrastructure Services Department (GS), Integrated Services Group (IS), Logistics Section (LS).

You will join the Integrated Services Group (IS), whose responsibilities include, but are not limited to, providing administrative support for CERN’s technical services, site cleaning, managing the vehicle fleet, providing transport for the personnel and procuring supplies. The Logistics Section (LS) more specifically is responsible for handling the installation of new Members of the Personnel, receiving and dispatching goods, delivering internal mail and managing waste.

As an Administrative Assistant in the Installation Service, you will:

  • Manage and follow up the formalities associated with all removals of new Members of the CERN Personnel, which includes: welcoming and providing information, verifying the individual’s rights according to the rules of the Organization and the status of the Member of the Personnel and liaising with the French and Swiss authorities.
  • Examine quotations from removal firms and check and validate invoices.
  • Draw up all the necessary documents for the importation of vehicles and for removals to Switzerland and France.
  • Manage and follow up the registration of vehicles on `K’ or diplomatic `CD’ series plates (France and Switzerland).
  • Be responsible for managing and following up applications for fuel cards, as well as applications for VAT refunds from the federal administration in Bern.
  • Keep up to date with developments concerning tax (VAT) and/or legislation and make proposals for taking them into account in your day-to-day work.
  • Verify eligibility and draw up the relevant customs forms.
  • Maintain regular contact with various CERN services and with the relevant authorities (Ministry of Foreign Affairs, French and Swiss customs offices, vehicle registration service, etc.) in order to complete the forms concerning importation, green plates, etc. and to obtain all the information needed to perform your work correctly.

This is a post with five-year limited duration contract.
