Office & Executive Assistant at EVPA




THE POSITION

We are looking for an experienced, enthusiastic, organised and pro-active multitasker to join our EVPA team. He/she would be managing the daily running of the office and assisting our CEO directly. The role is in a fast paced environment and requires someone who has a positive ‘can-do’ attitude and who is happy to pitch in wherever necessary.

MAIN TASKS & RESPONSIBILITIES

The Office & Executive Assistant must be personable and highly organised whilst displaying discretion and using initiative at all times. Your job will consist of, but is not limited to, the following two areas:

  1. Assistant to the CEO:
  • Managing the CEO’s agenda (planning and organizing appointments and meetings, screening and monitoring mail/phone enquiries and requests, summarize where possible, assess priorities, manage the to do’s of the CEO and follow up on the actions set out by the CEO, responsible for travel arrangements etc.)
  • Prepare board minutes, board agenda and coordinate documentation
  • Be the point of contact of the CEO for internal and external stakeholders
  1. Responsible for the functioning of the office:
  • Responsible for correspondence and phone
  • Purchasing of office supplies and material needed for our events
  • Coordinating ICT matters with our external service provider
  • Handling office space matters with the building operator
  • Being part of our team days organization committee
  • Responsible for updating and management of the EVPA electronic calendar
  • Being the interlocutor of our external HR consultant and all key EVPA/CEO relations

SKILLS & QUALITIES

  • Min. 5 years work experience in office management and/or as an Executive Assistant or equivalent
  • Education level: Bachelor degree or higher
  • Written and spoken fluency in English and Dutch or French, fluency in other European languages is a plus
  • Computer skills and working experience of MS Office (PowerPoint, Excel, Word etc.) and database management (experience with Salesforce is a plus)
  • Ability to multi-task, work flexibly/under pressure and can handle confidentiality
  • Can take initiative, act with common sense and organize matters
  • Excellent interpersonal skills and ability to communicate effectively with a broad range of people

TERMS & CONDITIONS

  • Almost full-time position (32 hours), based in Brussels
  • Position working across the organisation with a direct reporting line to the CEO
  • You will be part of a small, highly motivated, international, entrepreneurial and fast-growing dynamic team
  • Start date: as soon as possible
  • Compensation according to experience and skills brought to the position (rem: EVPA is a non-profit association)
