Text Processing Assistant – Chinese, UN

Passing the United Nations Assessment Support Test (ASAT) at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY or the GGST  AND United Nations the Secretarial Test OR the Text Processing Test (TPT) are a prerequisite for recruitment consideration in the General Service category of the United Nations Secretariat. For this position, candidates who passed the United Nations Text Processing Test do not need the two tests requested above.

This post is located in the Division of Conference Management, Languages Service, Chinese Translation Section.

Responsibilities

Under the supervision of the Chief of Chinese Text Processing Unit, the incumbent:
– Checks final documents against originals for correctness and for uniformity of presentation (symbol, title and date); screen-checks corrections: checks the numbering of paragraphs, consults translators or relevant divisions over missing or unreadable words;
– Assembles large documents, checking that tables, graphs and footnotes are correctly inserted (which may require successive format changes), and ensuring that page breaks are consistent with the rules on paragraphs contained in the United Nations Editorial Manual;
– Converts final documents into PDF (Portable Document Format) from Word, and prints and compares the two versions; sends documents by e-mail to the departments indicated on the Master Card;
– Re-reads, with another colleague, semi-finals, including semi-finals of important documents and sales publications;
– Provides training, guidance and support to temporary and junior staff in the processing of basic and more complex documents;
– Is responsible for setting up and printing complex and synoptic tables;
– Corrects (spelling, syntax) and finalizes texts submitted by divisions, in accordance with United Nations document presentation standards;
– Types drafts (from cassettes or sound files) and semi-finals;
– In the absence of the Assistant Supervisor(s), receives and logs-in documents for processing and translators’ cassettes or sound files, prepares and distributes work, including the splitting of documents, to text processing operators, according to the nature, difficulty and urgency (e.g. conference room papers required in the meeting room) of documents, and distributes cassettes or sound files; keeps job cards up-to-date (cassettes or sound files, semi-finals and finals), by adding the relevant information for finalization and archiving of documents;
– Carries out missions (conferences or secondment), either alone or in charge of a group of colleagues;
– Performs other related work as required.

Education

Completion of secondary school or equivalent studies.

Work Experience

At least five years of experience in text processing work, of which three years preferably in the United Nations. Qualifying years of experience are calculated following the receipt of the high school or secondary school diploma.

Languages

Fluency in Chinese and knowledge of English or French.
