Place of employment: Florence, Italy
Duration of contract: Fixed-term contract, renewable once for a fixed period. Any further renewal shall be for an indefinite period.

THE ORGANISATION
The European University Institute (EUI) is an academic institution set up in 1972 by the then Member States of the European Union, providing doctoral training in Law, Economics, History and Civilisation and Political and Social Sciences with special reference to Europe. In addition to the departments, the Institute includes the Robert Schuman Centre for Advanced Studies (RSCAS), which focuses on inter-disciplinary, comparative and policy research, and the Max Weber Programme for Post-doctoral Studies.
The Institute also hosts the Historical Archives of the European Union.
The EUI is not an EU Institution or body, but an inter-governmental organization, funded directly by the signatory states, partly by the European Commission and to some extent through external funding. The EUI provides a multinational work environment in an intellectually stimulating atmosphere.
DESCRIPTION OF RESPONSIBILITIES
Under the supervision of the Director, Head of Department or Direct Manager, the successful candidate will provide support for the preparation of applications and the daily management of (mostly externally-funded) research projects.
More specific duties include:
  • Tracking and identifying potential sources of external funding appropriate for the research area and to provide consultancy on funding opportunities to academic staff ;
  • Supporting the academic staff with the preparation and timely submission of project applications by providing administrative and technical guidance, in particular with regard to the description of the project management, the preparation of the budget, the coordination with potential partners, and the production of the final proposal;
  • Supporting the negotiation phase until the signature of agreements of successful project applications, including the drafting of consortium agreements between the EUI and partners;
  • Liaising with external donors and coordinating the flow of information between external donors and project teams;
  • Monitoring the implementation and ensuring the legal and financial compliance of the project activities with EUI rules and the rules of the external donor;
  • Taking charge of the financial and administrative management of projects, in cooperation with other services of the EUI, and ensuring the daily coordination of the activities of the projects including but not limited to, administrative management of academic staff recruitment; overall supervision of financial commitments and expenditures; preparing and ensuring the timely submission of projects reports; supporting and/or coordinating other administrative staff of the projects; providing organizational support to academic staff; providing support to consortium partners;
  • Assisting in the development of best practice in the management of research within the EUI.
