Program Administrative Assistant – Open Society Foundations

open_society_foundations_logoThe Eurasia Program works to deepen civil society, uphold human rights, and maintain space for independent debate and discussion in Eastern Europe (Moldova, Ukraine), Russia, the South Caucasus (Armenia, Azerbaijan, Georgia) and Central Asia (Kazakhstan, Kyrgyzstan, Tajikistan, Turkmenistan, Uzbekistan). The program is advanced through grantmaking, advocacy and research, regional initiatives, and close engagement with local Open Society foundations.

The Eurasia Program is seeking a Program Administrative Assistant, who will keep the wheels of the entire program turning smoothly.

PROFILE- PROGRAM ADMINISTRATIVE ASSISTANT

Skills and Abilities:The following list is not inclusive, but highlights a number of the most critical skills and abilities for performing the role.

The Program Administrative Specialist will ideally have administrative experience at a large and complex organization, experience working with a grant processing system, and in-depth knowledge of grant making policies, guidelines, and processes.

  • Demonstrable high proficiency with office technology and IT solutions used by OSF, including Microsoft Office Suite. Must be comfortable learning new proprietary software systems.

  • Demonstrable proficiency in using data management and visualization platforms and databases (e.g. Salesforce, NetSuite, Foundation Maps).

  • Demonstrable ability to set up processes, systems, and workflows and ensure adherence and follow-up.

  • Experience with record keeping, budgeting management, and finance administration.

  • Experience with multi-tasking and working independently on complex administrative tasks.

  • Proven ability to build and maintain relationships with a wide range of people from diverse backgrounds within a complex organization.

  • Experience making administrative and procedural decisions and judgments on sensitive and confidential issues.

  • Excellent interpersonal skills and demonstrated expertise in handling all personnel related issues and information in a confidential manner.

Experience/Qualifications

  • The Program Administrative Assistant will ideally have administrative experience in a large and complex organization – experience in NGO, foundation or other related settings is preferred.

  •  The Program Administrative Assistant will demonstrate his/her commitment to understanding and dealing effectively with cross-cultural issues

  • Demonstrated proficiency with the office technology and IT solutions used by Open Society

  • Experience administering travel and expenses, catering, office security, and scheduling personnel appointments and maintaining calendars

  • Experience tracking and managing budgets

  • Experience with multi-tasking and working independently on administrative tasks

  • Demonstrable strong written, verbal, organizational, and interpersonal skills

  • Demonstrable understanding of technical and business vocabulary

  • Proven ability to prioritize among a wide range of tasks and projects

  • Experience drafting verbal and written communications in English (facility or fluency in one or more additional languages may be required in certain geographies and/or for certain programs)

  • Experience working in a team environment

  • Bachelor’s degree in a relevant field of study or equivalent experience/education.

  • One year of progressively responsible experience in a situation relevant to the duties of this role is typically required to develop the skills required for this role.

  • Russian proficiency (especially reading) is a plus
