Anna-Lindh-Foundation1. Scope of work/tasks

Under the overall supervision of the Head of Programmes and Networks Unit and the line management of the Networks Manager, the Programme Assistant will be responsible for:

  • Assisting in the implementation of Programmes/Grants/ Activities assigned, including ensuring the related logistical arrangements and elaborating the required documents of the programme’s administrative process;
  • Acting as Focal Point of the National Networks assigned, in the framework of the internal focal point system applied, ensuring technical assistance and regular reporting;
  • Assisting in the elaboration of a comprehensive updated calendar of activities run by National Networks, based on the information collected from the focal points as well as National Networks webpages and Database;
  • Assisting in the reporting process in the frame of the ALF funding schemes;
  • Assisting in collecting information and statistical data and in the reporting exercise of the Programme Officers;
  • Assisting in collecting information about relevant programmes, activities and/or opportunities linked to the ALF mission to be circulated to National Networks;
  • Assisting in the preparation and circulation of communications to the Head of Network institutions and to National Networks, upon request of the Network Manager;
  • Carrying out missions abroad in relation to the assigned activities, upon necessity;
  • Facilitating the circulation of information, applying to the Project Management Cycle, using the Internal Information System and sharing the data base of the programmes in order to achieve transparency and accountability; and
  • Carrying out other duties assigned by the supervisor in relation to the position covered, with a justification and on a temporary, even-handed basis.

2. Profile:

2A.Required Education and work Experience

The successful candidate for this post must have:

  • A Bachelor University Degree in a relevant field;
  • Minimum one year of experience in a related work field,
  • Knowledge of basic administration and financial rules according to best practices;
  • Knowledge in organization of meetings and events (logistics);
  • Knowledge of principles and practices of office management;
  • High level of computer proficiency, especially in Microsoft Office (Word, Excel, Power-point and Database program);
  • Excellent written and verbal communication skills in English and French.

2B.Interpersonal qualifications

  • Communication skills – written and verbal;
  • Information gathering and information monitoring;
  • Good sense of organisation with a capacity to prioritise work;
  • Organizational skills, ability to multi-task and to work effectively under pressure;
  • Problem assessment and problem solving;
  • Ability to work in a team and adapt to cultural environments;
  • Attention to detail and accuracy;
  • High degree of initiative, flexibility with a drive for efficiency and results.

2C.Other relevant Experience/knowledge

  • Previous experience in donor funded projects and knowledge of EU procedures;
  • Familiar with working with different stakeholders such as NGOs, Public Foundations;
  • Knowledge of Project Management Cycle.

2D.Assets:

  • Relevant Professional Training and Educational Qualifications;
  • Additional years of overall professional experience in the related field of activities and;
  • Ability to work proficiently in Arabic and other Euro Med languages.

Eligibility of Applicants: In order to be eligible, applicants must be candidates living in Egypt (Egyptians or Foreigners)
Applicants must be nationals of one of the 42 (UFM) countries:

The Provision starting date is envisaged for the 1st of January 2016, it could however be subject to 15 day postponement.

Contract Duration: The contract duration will expire on the  31st of December 2017, with a possibility of a renewable period depending on the ALF needs.
