Working Group Assistant – EIOPA

eiopa-logoThe European Insurance and Occupational Pensions Authority (EIOPA) is currently inviting applications for a position as Working Group Assistant for its Headquarters in Frankfurt, Germany.

EIOPA is at the heart of insurance and occupational pensions supervision in the European Union. It is part of the European System of Financial Supervision, consisting of three European Supervisory Authorities and the European Systemic Risk Board. EIOPA is an independent advisory body to the European Parliament, the Council of the European Union and the European Commission.

EIOPA’s core responsibilities are to support the stability of the financial system, transparency of markets and financial products as well as the protection of insurance policyholders, pension scheme members and their beneficiaries. The successful candidate will join the young European Agency EIOPA which has a friendly, close-knit office of international staff, located in Frankfurt.

Job description

Major purpose

The successful candidate will provide administrative support to the rapporteurs of the different working groups and the respective subgroups and task forces within the multicultural environment of EIOPA as well as support other colleagues in tasks common to events and meetings.

Main responsibilities

  • Providing support in organising Working Group meetings (both in Frankfurt and at other international locations) such as sending out invitations and documents, tracking of registrations managing contact lists, setting up technical requirements, providing service during meetings, receiving visitors and giving assistance to visitors;
  • Providing general administrative support, including document archiving, drafting and formatting of documents;
  • Being the focal point for handling and channelling related incoming mail and phone calls;
  • Providing support in maintaining the extranet and publish documents;
  • Backing-up other colleagues as required.

Eligibility Criteria

  • Thorough knowledge of one of the languages of the Communities and a satisfactory knowledge of another language of the Communities;
  • Be a national of a Member State of the European Union, Norway, Iceland or Liechtenstein;
  • Be entitled to his or her full rights as a citizen;
  • Have fulfilled any obligations imposed by the applicable laws on military service;
  • Be physically fit to perform the duties linked to the post.2

Essential Skills

  • Qualification:
    • A post-secondary education attested by a diploma, in a field relevant for this position; or
    • A secondary education attested by a diploma giving access to post-secondary education and appropriate professional experience of three years. The secondary education diploma giving access to post-secondary education may be replaced by a certificate of adequate professional training of not less than three years on condition that there was no similar professional training giving access to higher education at the time it was issued; or
    • Successful completion of intermediate education plus two years relevant supplementary specialised training plus five years appropriate professional experience;
  • At least two years of professional experience in a multicultural environment, preferable in meeting organisation.
  • Proven experience of smooth working relationships with different stakeholders and customer orientation.
  • Excellent organisational skills, attention to detail, and determination to meet deadlines.
  • Good command of English oral and written communication.
  • Good command of German oral and written communication.
  • Working knowledge of MS Office, in particular Word, Excel, and PowerPoint.

Monthly basic salary: 1.934,53 EUR plus specific allowances where applicable.
