Job mission
FIXED-TERM CONTRACT
Under the authority of the the Director of the European Directorate for the Quality of Medicines & Healthcare (EDQM), the incumbent will provide a variety of secretarial support tasks in either:
- procurement, in particular supporting the importation procedure relating to chemical/biological products and products of animal or plant origin;
- order processing and customer support to users in respect of EDQM products.
Key activities
The incumbent performs the following key duties:
Profile A – Procurement & Customs:
– arranges the sending and follow up of letters requesting donations of samples for projects to establish reference standards which apply to the manufacture and quality control of medicines, ensuring that the samples are received within the deadlines set;
– processes requests related to tax exemption for the purchase of goods and services to be cleared through customs or quarantine; keeps track of progress in line with applicable procedures and regulations including liaising with suppliers and internal customers; ensures that the required documentation is available to allow clearance at customs;
– requests prices/estimates from suppliers; enters Purchase Order data into IT system; helps resolve problems related to purchasing and invoicing in collaboration with EDQM Finance.
Profile B – Sales & Customer Support:
– provides support to the sales process by liaising with customers throughout order fulfilment, requesting information related to account set up, import licences etc., sending out order acknowledgements, quotations and proforma invoices and providing information to customers regarding price, availability, shipping dates, order status, etc.
– works with EDQM’s Accounts Receivables’ team in respect of client account management and the EDQM’s dispatch team for shipment issues, including tracing missing or delayed shipments;
– sets up, maintains and cleans customer accounts; performs quality checks (including validity, consistency & duplication) to identify and correct inaccurate/inconsistent data; prepares mass-mailing to users in respect of new products, product re-calls, etc.
