Position Vacant : Accounting Assistant, EU Delegation to Australia

Details: The EU Delegation to Australia is looking for an energetic and highly motivated Accounting assistant to support the Administration team of the EU Delegation to Australia to perform accounting work and financial and budgetary tasks

Functions and duties:
– Delegation’s Accrual Based Accounting program (ABAC): Assist with operational and financial initiation: reception and verification of incoming invoices, collecting relevant documentation, (contracts, purchase orders, order forms), entering invoices in ABAC and creating Payment Requests and Payment Orders.
– Prepare payments for signature, checking their conformity with EU Financial Regulations and general financial procedures of the Delegation.
– Encode budgetary commitments and de-commitments and assist with budgetary planning where necessary.
– ABAC Assets / Inventory management: verification of physical inventory, follow-up of asset purchase and sale / de- classification procedures, and related paperwork, photo inventory and other inventory related tasks.
– ABAC Contracts: checking & uploading contracts in the system and assist with procurement procedures [low value contracts] where necessary.
– ABAC LEF and BAF: Entering of Legal Entity and Bank Account data in accounting system.
– Maintain payment filing system.
– Assist with preparation of ex-post control and auditing requests.
– Assist with preparation of Annual Financial Report and Internal Control Standards reporting as required.
– Back-up the administration assistant with mission requests and mission claim verification when necessary.
– Assist with preparing authorizations of expenditure when necessary.
– Assist the Administration section with other administration related tasks.
