Assistant HR – Cedefop

cedefop-logoCedefop is organising a selection procedure to draw up a list of suitable candidates for the position of an assistant in Human Resources (HR). This is a short-term position, to cover a temporary staff shortage in the HR team.

Job description (duties, tasks, responsibilities)

Cedefop are looking to recruit a person with HR experience who can become immediately operational. The successful candidate will support the team by providing administrative support and contributing to the correct implementation of HR processes in the areas of selection, staff administration, learning and development as well as records management.

Specific tasks include:

Support to selection procedures

  • Dissemination of vacancy notices;
  • Correspondence with candidates;
  • Invigilation of written tests;
  • Practical support to the selection boards throughout the procedure;
  • File management to ensure completeness of selection files, in line with established checklists;
  • Processing of spontaneous applications.

Support to staff administration

  • Processing of part-time/parental leave requests;
  • Processing of special leave requests.

Support to learning and development activities

  • Logistic support for learning and development activities (scheduling of classes, room availability, coordination with students and teachers);
  • Data collection and processing for reporting (attendance sheets, individual training records, attendance statistics, summary of evaluation forms).

Records bank management

  • Creating files for all types of records;
  • Registering electronic and paper records in an established registration system;
  • Filing electronic and paper records, applying established rules for records management.

The contract is for one year with the possibility of renewal. The successful candidate will undergo a probation period of 9 months.

The terms of employment are those described in the Staff Regulations of Officials and in the Conditions of Employment of Other Servants of the European Union (cf. Articles 79 to 119 referring to contract staff). The successful candidate will be recruited in Function Group III. The basic monthly salary for FG III (8 step 1) is approximately € 2470. The salary is subject to a salary weighting (currently 86.8%) and a Community tax deducted at source but which is exempt from national taxation. In addition, staff members may be entitled to various allowances such as household allowance, expatriation allowance, dependent child and education allowances.
